Sell it. Collect it. Service it. Settle it.
One login and one customer record for your quotes, calls, team chat, payments, commissions and partner hand-offs. Everything a warranty sales floor runs on.
Five logins. Three spreadsheets. Zero single view.
Most warranty and service-contract operations grow by bolting on tools. Every tool is fine on its own — together they cost you time, accuracy and visibility.
Reps live in six windows
Looking up a customer in one tool, taking the call in another, running the card in a third, then typing the same details into a partner portal. Every hop is a chance to mistype and a few seconds lost.
Managers fly blind
Who is on a call, who is on break, how long is the queue, who is closing? Without one live view the answer arrives after the shift — in a spreadsheet.
Pay day is a math project
Commission tiers, markups, cancellations and refunds calculated by hand are slow, disputed and easy to get wrong. Reps lose trust; payroll loses hours.
Everything a warranty operation runs on, in one place
Five connected workspaces share the same customer record, the same permissions and the same live numbers.
From first call to signed deal without leaving the record
- Find a customer by file code, name or phone number and see every deal they have ever had — vehicle or home.
- Vehicles: enter the VIN and the year, make and model fill themselves in. Mileage stays editable through the life of the deal.
- Homes: capture address, square footage and year built, with one-click property lookup to double-check.
- Coverage plans filtered by mileage and vehicle age, so a rep only ever sees plans the asset qualifies for.
- Markup or discount within the range each role is allowed; the sell price and the rep’s commission update live.
- Address suggestions and ZIP auto-fill everywhere an address is typed.
- Every customer file gets a clean automatic file code (for example K7M2QX4D) so nobody invents their own.
The public quote form feeds you directly
Your website’s quote form lands straight in Submissions with the consent details captured, ready for a rep to work. Bulk-import lead lists from CSV (hundreds of rows at once) and keep a follow-up queue so nothing slips.
Quote, follow-up and purchase-confirmation emails go out automatically, branded by where the customer came from.
A real call-center phone system, inside the CRM
- Calls ring in the browser with a screen pop of every file that matches the caller’s number, name or address.
- Mute, hold, keypad, pause recording while a card number is read, warm or cold transfer, and three-way conference.
- Queues with tiers, press-1/press-2 menus, business hours, holiday closures, do-not-call list and call recordings.
- Supervisors listen in, whisper and barge; every rep status is timed with break and lunch limits.
- Call scorecards, scripts per queue, scheduled callbacks, queue performance and a full-screen wallboard.
- Team chat built in: direct messages, groups, files, reactions, pins — plus pop-up notifications for messages and incoming calls on every page.
Why it matters
Reps never leave the customer’s file to take a call, and the call, its outcome and the notes are attached to that same record for the next person who touches it. Managers get live board, wallboard and rep-time reporting with no extra phone product to buy, integrate or reconcile.
Take payment, calculate pay, and keep the books honest
- Card and check/ACH on the deal, with an optional split of the down payment across two methods. A deal cannot be marked sold until payment is approved.
- Post-dated payments and manual payments, with their own report so nothing gets lost. Bank details are encrypted and only visible to people you permit.
- Finance-company fees as a flat amount or a percentage, saved on each deal when it is created.
- Commission engine: base pay by term, share of markup (or markdown), and a monthly volume bonus ladder — all editable. Reps see their earnings while they quote.
- Managers run a commission calculator for any rep, team or date range with CSV and print/PDF.
- Refunds, cancellations and post-sale discounts are permission-gated and logged with who and why, separate from the original quote pricing.
Commission, without the spreadsheet
Per-deal pay, markup share and volume tiers calculated from the actual deals — cancelled and fully refunded deals stay on the list but pay nothing, and every export is written to the audit log.
Finance companies, administrators and merchants — wired in once
- Pick, per partner and per direction, how data moves: SFTP, FTP/FTPS, API, Google Sheet, email or manual. Test the connection, preview what a partner sent, and import administrator rate sheets in one click.
- Routing rules decide which administrator, finance company and merchant each kind of deal goes through — by asset type or by rep. Reps do not have to choose.
- One click “Send now” on a sold deal, automatic send the moment it sells, or scheduled sends on set days and times with your own column mapping.
- Every attempt is logged in plain English; failed sends retry and the sale still stands.
Fulfillment that follows the sale
The partner gets the data the way they want it, on the schedule they want it, and you see exactly what was sent and when.
Know what is happening right now — and act on it
- Company dashboard: calls live, calls holding (green / yellow / red), sales, closing percent, home vs auto — refreshing every 1.5–10 seconds.
- Each rep gets a personal dashboard; managers and admins see rep activity, talk time, break and lunch time, and closing percent by team.
- Office TV display with a shareable link: counts, colors and leaderboards for the sales floor, no login on the screen.
- Teams with their own managers; a manager only sees and controls their own reps. Set a rep Available, on Break or log them out of the phone — recorded in the audit log.
- Granular permissions: grant a single ability (refund, cancel, view cost) person by person, with a full audit trail.
- Delete an employee without losing their history — their deals, calls and commissions stay on the reports.
One source of truth
Because phone, deals, payments and people share one database, the numbers on the dashboard are the numbers in the commission report — there is no second system to reconcile against.
Admin and manager pages fit tablets and phones, with light, dark or automatic themes.
Watch a day in the system, in about two minutes
Four short walk-throughs recorded on the real screens, with sample data. They play automatically — pause, step or restart any time.

Your partners are part of the system, not an afterthought
Every sale touches at least three outside parties: the administrator who backs the contract, the finance company that funds a payment plan, and the merchant account that takes the money. Justified CRM treats each as a first-class record with its own connection settings, routing and send history.
Administrators
Load an administrator’s rate sheet by CSV or pull it over a connection, and re-import to update costs without duplicating plans. Plans carry mileage and age limits so reps only see what qualifies. Sold deals go back to the administrator in the format they ask for.
Finance companies
Flat or percentage fees are calculated on every financed deal. Sold, financed deals hand off with one click, automatically on sale, or in a scheduled batch — with the exact columns and headers that company wants. Encrypted bank details are available only to permitted staff.
Merchants
Run more than one merchant identity side by side and route each deal to the right one with a rule instead of a rep’s memory. The gateway adapter is built; connect your merchant account and card payments go live.
Choose how each partner exchanges data
Set it separately for sending and receiving. Then add routing rules — “all auto deals go to this administrator,” “this rep’s deals use that finance company” — and the most specific rule wins. From there:
- Send now: a button on the sold deal, with the time and result of the last send.
- Send automatically the moment a deal is marked sold — if it fails, the sale still stands and you get a retry button.
- Scheduled sends: every Monday, Wednesday and Friday at the time you pick; only deals sold since the last send go out, and nothing goes out twice.
- Plain-English log of every attempt, so a partner’s “we never got it” has an answer in seconds.
E-contract & fulfillment: what you get today
When a deal sells, the CRM packages the customer, asset and terms and delivers them to the administrator or finance company who issues and funds the contract — by file, API, sheet or email, on the schedule they require, with a complete send history on the deal.
Coming next
In-app contract generation from deal data, customer e-signature, and scheduled pull of partner return files. We list these as roadmap rather than promise a date; ask in your demo where they stand.
If you sell a plan with a price, a term and a payment, it fits
Contract-administration vendors in this space routinely position their platforms for more than one product line — vehicles, homes, RVs, consumer products, and add-on programs. Justified CRM is built on the same idea: plans, rate tables, routing, payments and commissions are configuration, not code.
Vehicle service contracts
Cars, trucks and SUVs with VIN decode, mileage and age eligibility, dealership finder and term-based pricing.
Home warranties
Home plans with square footage, year built and property lookup, sold and serviced from the same record as vehicle coverage.
RV, powersports & marine
Motorcycles, RVs, trailers, boats — add the asset type, load the rate sheet, and route to the right administrator.
Maintenance plans
Prepaid maintenance and service plans for vehicles, HVAC, appliances and more: terms, payment plans, renewals and follow-up in one place.
Insurance & protection sales
Agencies and F&I teams selling add-on or supplemental protection (GAP, tire & wheel, key replacement, accident and health add-ons) can use the same quoting, call-center, payment and commission workflow.
Consumer products & memberships
Appliance and electronics protection, roadside and benefit memberships — anything sold on a term with recurring or financed payments.
One platform instead of a stack
The established names in this market tend to be strong in one lane — contract administration, program management, F&I e-contracting or a sales CRM — and several are sold as separate products you stitch together. Justified CRM starts from the seller’s desk and brings the whole day into one record.

Comparison reflects each category’s typical public product positioning and our own feature list as of October 2026; individual vendors differ and change. If you need claims adjudication, pair Justified CRM with a claims platform — our partner hand-offs are built for that. We are happy to be measured against any specific vendor in a live demo.
How Justified CRM is different
Many products in this market are built around one job, such as contract administration, program management, F&I e-contracting or a stand-alone sales CRM, and are often sold as separate pieces you stitch together. Justified CRM starts from the seller’s desk and brings the whole day into one login: the customer record, quoting and selling, the phone system, team chat, live floor dashboards, commission, and hand-offs to your partners.
Where another kind of platform is deeper, such as claims, carrier-grade administration or dealer F&I menus, we say so and integrate rather than compete. We do not make claims about any particular company or product. The best comparison is a live demo built around your own process, and we are happy to do one.
Questions worth asking any vendor
- Is the phone system part of the product, or another contract?
- Where do commissions get calculated, and can reps see them live?
- Can partner hand-offs run on a schedule I control?
Costs stay transparent
- You bring your own Twilio and merchant accounts, so carrier and card-processing costs are billed to you directly.
- One platform to price, instead of a CRM plus a dialer plus a chat app.
Made for the sales floor
- Every screen is built around the seller’s day: find, quote, call, close, hand off.
- Roles keep margins and sensitive details in front of the right people only.
Give people exactly the access their job needs
Four roles, many overrides
Admin, Manager, Customer Service and Rep defaults, then grant or remove single abilities per person.
Sensitive data guarded
Bank details encrypted and permission-gated; margins and gross figures hidden from roles you choose; recordings pause for card numbers.
Audit trail
Refunds, cancels, exports, status overrides and employee changes are recorded with who and when.
Clean exits
Turning off a login stops it instantly. Deleting an employee removes them from lists but keeps their deals and numbers on reports.

Straight answers
Is it a CRM or an administration platform?
It is a seller-first platform: quoting, payments, phone, chat, commissions, reporting and partner hand-offs. It is not a claims-adjudication system today. If you administer claims, use Justified CRM for everything on the sales side and send deals to your claims system through the partner connections.
Do I need to buy a separate phone system?
No. The phone system is built in and runs on Twilio. You connect your own Twilio account, so numbers and call charges are billed by Twilio to you directly.
Can it take real card payments?
The payment gateway adapter (USAePay) is built. Connect your merchant account to switch from simulated to live card processing. Check/ACH details are encrypted and visible only to people you permit.
How does it connect to finance companies and administrators?
Each partner has its own connection: SFTP, FTP/FTPS, API, Google Sheet, email or manual, set separately for sending and receiving. You can send per deal, automatically when a deal sells, or in scheduled batches with the columns the partner wants.
Does it generate and e-sign contracts?
Not yet. Today it packages the sold deal and delivers it to the party who issues the contract. In-app contract generation and e-signature are on the roadmap.
Can I use it for things other than vehicle and home warranties?
Yes. Plans, rate tables, routing, payments and commissions are configurable, so teams can adapt it to RV and powersports coverage, maintenance plans, consumer-product protection and add-on or supplemental protection sold through an agency. You remain responsible for licensing and disclosures for each product.
Can my reps and managers see different things?
Yes. Four roles with per-person overrides control who can quote, refund, cancel, see costs and margins, view bank details or manage logins. Managers only see the teams they lead.
Does it work on phones and tablets?
Admin and manager pages fit tablet and phone screens. The softphone is built for a computer with a headset, so reps on very small screens do not get it.
Is there an AI, auto-dialer or texting?
Not yet. Auto-dialer, answering-machine detection, texting and AI call summaries are on the roadmap.
